4 Ways to Simplify Your Business Life

Entrepreneurship is almost always about multitasking. But keeping a hundred things under control every day can get overwhelming. Here are a few ideas to make daily tasks easier, reduce the workload, and make managing your business just a bit lighter.
Step 1: Organize Everything
The more order and logic in your work, the easier it is to handle. Start by listing all your products or services, defining clear prices or price ranges, setting timelines, and grouping everything into categories. This might take a few days but brings clarity to your mind and business.

Example from experience:
In my floral studio, all the bouquets were "custom" - meaning they were arranged based on each client’s preferences. We’d often spend over an hour discussing a bouquet order for a ‘45-year-old accountant who loves lilies and a vibrant, wow-factor design.' Systematizing helped: after reviewing bouquets from the past three years, I identified 12 popular color schemes and created a catalog around them. 90% of our clients ended up ordering from it! Bouquets stayed custom, but with options that covered most tastes.
Tip: Use a mind-mapping tool to outline all your business processes logically and thoroughly.
Step 2: Delegate Wisely
Even small businesses have tasks that can be delegated. Deliveries, tax filings, or website development — these tasks consume time you could otherwise spend on other priorities. Yes, delegation costs money. But the time saved can be spent on ways to earn more!

In my first year as a business owner, I decided to save money by handling my accounting. Within a few months, I mastered all the tax systems, learned to file returns, and calculated taxes like a pro. And yet, I ended up overpaying my taxes by a few hundred dollars, which I only managed to get back 2 years later — with a little help from online accounting service.
Tip: You don’t have to hire an accountant; there are online services that can manage reports and filings just as effectively.
Step 3: Automate What You Can
If a task repeats often, consider automating it. Set up quick replies for payment details or thank-you messages, script responses for frequent questions, and automate social media posting. And most importantly, get a website! It saves you from having to DM clients your price list, explain delivery options individually, or check payments manually.

Example from experience:
I once mentioned that taking a single order through social media at the floral studio could take over an hour, sometimes even a whole day of back-and-forth messages. But with a website, this process took five minutes: the order notification came to us instantly, and payment confirmation soon after. All information stayed in our CRM system, and we only needed to call the client to confirm the order.
Tip: Quick replies aren’t only available for Instagram Business accounts — you can also set them up in WhatsApp for Business.
Step 4: Track Everything
Track everything: revenue, expenses, salaries, and net profit. Note which days get the most orders, which products are best-sellers, and which aren’t performing. Numbers may seem boring, but they’re essential even for creative businesses. This way, you can catch any unprofitable areas before they drain your time and energy.

Example from experience:
"A website is expensive! I don’t get enough orders yet to afford one," I used to think. But it turned out that having a website not only increased orders (because it made things easier for clients) but also replaced the need for an additional manager! The site handled orders, and the savings more than covered development and upkeep costs.
Tip: If spreadsheets aren’t convenient for tracking income and expenses, try a financial tracking app on your phone, but stick to using it for business finances only.

Lyubov Shraibman is a doula, researcher, and course creator. Her website consolidates information about her consulting services, book club for doulas, and various courses. The site is an educational hub where clients can purchase webinars and courses on pregnancy and childbirth, automating access and allowing Lyubov to focus on her research.

This site was made for local epilation studio. They needed to expand their client base so we made a page with a full information: common questions, prices, and online bookings through an integrated widget. Also the website has two different designes: men's section features a bold, dark aesthetic, while the women's section offers a light, gentle look. So the company can make two absolutely different advertisement campaigns.
